Email Tracking (Sent, Read, Deleted, Bounced)

Hi all,
Please help me on this. I want to know how to track our email has been sent
or read or even deleted by receiver. I know that outlook has a tracking
feature that can be used to track email has been sent or read, but it can't
be used when the receiver opens email through free email service like yahoo
or google. So, is there any solution? I want to report how many email has
been successfully sent or read, bounced, or even deleted by receiver, with
reporting services.

A user has inbox emails being sent to her deleted items folder without her
doing it. There are no rules set up telling emails to go there. Any idea how
to keep them from going to the deleted items folder? Thank you.

We have an "auto" user that deals with emails for a product we sell and i
want to limit the amount of mails in sent and deleted items, i want to know
if there is a way to set in exchange for that user ONLY a way to do this, i
would like to limit it to one months worth of emails and just delete anything
older ?

I know i could set it up in outlook as an auto archive task is there an
easier way ?

thanks in advance

Outlook 2003 & exchange server 2003 latest SP.

when we delete emails from the sent file it sends an email to the same person
who is deleting them in the first place, to their inbox stating that the
email was not read. So when she deleted 200 emails from her sent box, she
got 200 responses to her inbox saying those emails were ot read, even though
they were. Is there a setting that needs to be changed or set?

Thanks
Denese

I sent a couple of messages..using Microsoft Outlook to a person using YAHOO
.... I went to my navigation field, to the sent folder and double clicked the
sent email....I went to options and checked, "recall msg" and I then told the
computer to delete unread msgs. I do know this person has not read their
email, been out of town...so my questions a

1) How can I ensure the email I sent was deleted?

2) Does the original sent email still show up in their inbox?

Hi Paul (and other users),

I have ms exchange 2010 mail server. All outbound (SMTP) emails are sent using Etisalat (our UAE ISP) smarthost.

Since last week, most of our email sent to clients (yahoo.com and other domains) are bouncing back citing the smarthost (or Etisalat) mail server as poor reputation.

Since I cannot wait for our local ISP to resolve the issue, could any one of you recommend any commercial SMTP smarthost provider who I can utilise to route my outbound (SMTP) emails (with authentication) to the cloud so all my emails reach the recepients without being bounced back.

I would be grateful to you. Thank you.

Hello,

Our company has one AD server (running Windows 2003 SBS).  It also have Version 6.5 of Exchange. Using POP3.

I have noticed spam emails being sent from either the server or the client (which I am unsure) .. I have checked the logs in C:Program FilesExchsrvrASH2003SBS.log too.. and although I am not good at reading the logs... I can notice some bad emails that should not be there.

Because our emails go through a gateway (provider) we get alot of emails bouncing back saying in the subject:
Undeliverable: Delivery failure (bolla@super.com.br)[Scanned]

and this in the message:
Your message did not reach some or all of the intended recipients.
Subject:

The following recipient(s) could not be reached:
bolla@super.com.br on 19/05/2006 09:46
The e-mail account does not exist at the organization this message was sent to. Check the e-mail address, or contact the recipient directly to find out the correct address.
< corvus.netpar.com.br #5.1.1>

I know that if you use POP3, Blind Carbon Copy (BCC) is not compatible with POP3. (I was told this by microsoft agent).  So that is why all the bounced emails come back to the administrator account.

Can someone help me in what to do or how to go about doing it.  I would appreciate it very much.

Let me know if you want me to check anything else.

I have one other question related to spam... we do not have any such spam filter programs installed on our server and recently being getting alot of spam emails to all users.  Is there any way we can stop these spam emails coming through to the recipients without having a program installed?  We have a anti-virus that scans for viruses in emails and a hardware firewall set up too.

By the way: I am a first line server support user.. so don't go too techincal on me!

my email account is not my primary account in outlook (which is another
problem that i would like to fix) but the email account where all new mail
comes in to doesn't have a sent or deleted folder, so I can't delete email
and it's not saving my sent mail. how do i fix that?

emails randomally are sent from the inbox to the delete folder periodically
without any notice or maneuver. I have to check the deleted folder and make
sure there are no emails from my inbox that I didn't want deleted. I have
actually witnessed the process occuring and I have not touched the key board.

I have emails that are being sent out to email address that I have deleted
from contacts, because they are no longer good email addresses. So, when I
send out an email to all of my contacts I get a error message, saying email
no good. When I try to find it in contacts it does not pull up a contact,
but a email properties dialog box with display name and email address, but no
way to delete it. I am sure these are emails I have deleted from contacts in
the past. I have also went through each contact looking for email address
that way and do not see it. How can I stop this from happening?

Also, when I send out an email or a forward to all of my contacts is there a
better way to do it so that it is getting to all of them? I seen something
called send individually wondered if that would help sending out a mass email
easier.

Hi All!

Reading mails from Sent items, Deleted items, Draft folder from VB6.0. It is
very helpful for me if the code is written in ActiveX DLL and can be called
from any form of other projects.

my sent folder deleted all my emails that I did not want deleted yet I can't
recover them as when I go to the tools folder I don't have a "recover email"
tab. I'm not on an exchanger server so what happened to them and how do I get
them back?

In the past week I have received many emails that I read and deleted or
filed. All of these emails suddenly reappeared in my Inbox as unread. This
has happened several times before but I can't figure out why. Obviously, it
would be a hassle to deal with them all again. What causes this? How do I
prevent it? I'm using Outlook 2007.

What's the easiest way to delete bounced back, returned email addresses from Outlook's Contact?

Does anyone know how to track sent messages from an Exchange 5.5 mailbox. Long story short, we have a guy leaving and the owner wants a copy of all sent emails from the short timer sent to him. Thank You
Chris

Hello all

Runnign exchange sp2 on windows 2003 sp1. I ahve a user who complained that
she got an a duplicate email from another user. Both users are on the same
exchange server. When i look a message tracking and specify the user who sent
the duplicate email, i can see that there are two emails wit hthe same
subject and are going to the user who got the duplicate. When i look at the
user sent items who sent the duplicate, i only see one email being sent to
the user. So Message tracking is saying that there were two emails, but in
the users sent items i only see 1.

What can i do to try and fix this issue?

Thanks

Hi,
I had a problem with Outlook which was using Exchange to send/receive
instead of the
default POP account (supplied through web hosting company.). Every time
I set
the default to web hosting company's pop account, it would reset to
Exchange
after a restart. I posted this question and I was referred to a site
which
gave a solution to a known Windows Server 2003 problem. It worked
(www.slipstick.com/problems/defaultacct.htm)

Now, when I try to reply to, or forward, an email, sometimes it says it
is
using Exchange to send the email (which won't go through since Exchange
is
not set up).
It doesn't do it on all emails, just some of them. I looked at Tools,
Send/receive, Send/receive settings, define send/receive groups;
selected All
Accounts and clicked on Edit and I see:
POP3.domain_name.com
Account Options: send mail items, receive mail items
Folder options: I only see inbox
Microsoft Exchange:
Account options: send email, receive email, make folder home pages
available offiline, synchronize forms, download offline address book
Folder Options: Calendar, contacts, deleted items, drafts, inbox,
junk, ...

How can I fix this problem? I want all emails be sent through
POP.domain-name.com, including forwarded and replied to emails.

Hi there, I'll keep this real concise.

We have Microsoft Small Business Server 2000 running Exchange 2000 SP3. Several users have Blackberries. Blackberry email addresses are configured as Contacts in Active Directory. A copy of all emails arriving at Blackberry users Exchange mailbox is forwarded out to Blackberry contact address using AD Users & Computers>Exchange General> Forwarding Options. Blackberry users receive 2 copies of every email. When I check Exchange Message Tracking I can see that 2 emails are actually being sent - hence 2 received. The first email is sent from username, the second email is sent from username@domain.local

I've set this up many times without a hitch but I'm stumped on this one - any ideas?

Many thanks in advance,

Paul.

All the new messages that come through are being sent right to the deleted
items. is there some kind of filter or option that could of been accidently
checked?

Using Outlook 2007 and it recently started sending all imcomming emails
directly to the delete folder upon start-up.

Something drastic has happened, no one can figure it out. I have searched for
the missing files. Symptoms are: 1. inbox and unread mail have the same
number of emails (475-ish); it seems obvious that all the server mail was
somehow automatically downloaded to my computer;
2. sent mail only from 8/25/07 all previous sent is deleted;
3. archives all gone;
4. address bk/contacts gone but do show up in the To line when typing a
recipient;
5. blocked senders have all been deleted;
6. also sent mail on earthlink server is gone; addresses gone there also.

I have no clue as to what happened. Earthlink tech support does not either.
A virus? Can anyone help? Thanks Susan

Running Outlook 2002. All rules and filters deleted. New incoming
messages get sent straight to the trash folder or the junk folder.
Any advice is much appreciated

I woul like to move emails AFTER I read them. The rules I can find move a
copy of them right a way, not after read. So, when I look at emails that are
unread it is all of them..even the ones I have read, but appear in the
undread folder also. Another issue of this is that when I delete all the
unread ones..it deletes it also from the rule folders I specified. I want to
keep them in the rule folders.

So, my thought is if there is a rule that will move a copy of the email
after it has been read..i can actually delete the unread emails and not
effect the emails in the specified folders.
