Forward from Shared Mailbox to individual folders

Hi All,

Currently at work, over 100 emails come into the departments shared mailbox per day and staff work through each email in turn, however this is not most efficient way working, as staff are simply just choosing the easy ones.

That it is possible to create a script and then using some VBA to cycle through list of staff giving email to each individual on the list in a looping fashion.

However the above link does not point me in any direction on how to create script / vba to do this.

any help or further links on this type of thing would be greatly appreciated.

Sometimes I experience that I cannot move particular message from mailbox to
personal folder, especially on messages that has attachment. Here is the
error message:

Cannot move the items. The item could not be moved. It was either moved or
deleted, or access was denied.

But when I click on OK, the message is still on the mailbox. How can I avoid
this?

Btw, Im using Exchange 5.5 SP4 on Windows 2000 SP4 with Norton Antivirus for
MS Exchange.

I don't know if the AV has something to do with this error.

Outlook 2007 on Exchange 2010- We have a number of shared mailboxes that multiple people work out of for workflow purposes. Most people have the ability to read full details, delete all items, create items, create subfolders, and edit all. To process an email in the shared mailbox, the user will move an email from the inbox to a work in progress folder (still in the shared mailbox). Once the task is completed, the user moves the email to a completed folder (again, still in the shared mailbox). Note that we were told in order for people to move emails to folders in the shared mailboxes, they had to have delete all authority. Lately we have been having a few incidents where a person will accidentally move an email from one of the shared mailboxes to their own mailbox. The email effectively disappears from the shared mailbox and we can't trace it anywhere. Recently, we have "misplaced" a critical email. We are seeking suggestions on how to allow people to move emails within the shared mailbox, but prevent them from moving emails to outside of the shared mailbox. We would hate to lock down moving period because the inbox would become confusing and extra burden would be placed on one person to be the only one to move emails. Thoughts, comments, suggestions would be appreciated. Thanks in advance.


When moving mails from my mailbox's inbox folder to archive folder or personal folder mails are automatically going into deleted items.

I tried several things like recovery of deleted items , creating a new profile etc etc ....

but still the problem continues....

i   have not given any rules or anything....

i am moving the mails by selecting them and then right clicking on it and then chosing the option move to folder or even sometimes by just selecting the mails which i want to move and droping it to desired personal folders or archive folders inbox...

even i have not turned on auto archiving option...

Even  after trying a lot i am still not able to move my mails from mailbox's inbox to archive's or personal folders inbox as it is going into deleted items,....

can anyone pls help me to solve this problem out...

I want to transfer several mails from one mailbox to another mailbox in the same domain same exchange server.

Is there any simple way to that instead of forwarding mails one by one.

I have a user account on our Exchange 2007 server, the account used to be
Exchange 2003, and before that Exchange 2000, and has been moved along with
each migration.

The account is a Shared Mailbox, and she cannot use Outlook Web Access. She
says she has not been able to in the last 6 years, which is how long her
account has been around.

I would like to know how to change her account from a Shared Mailbox to a
User Mailbox without deleting and recreating a new account.

Hi Exchange Gurus!

We have two sites, each with a 2003exchange server running. I just recently installed ex2007 at one of the sites and added a group connector to the 03 at the same site.

Using test accounts on the 07 server i have been able to verify mail flow both internally and externally from all users to all mailboxes apart from one occasion. When sending an email from a user with a 03 mailbox to a user at the same site with an 07 mailbox the message is never delivered. I looked in the ESM message tracking and realised it was not getting past the Categorizer. I enabled diagnosis logging on the 03 server and realised i was getting SMTP errors each time i tryed to send a test email. It seems in the event viewer the FROM address is emtpy, or only contains a . This is strange no? (refer to pic) I send other test emails from this mailbox to external users and the proper myname@mydomain.com appears in the from field so this only occurs when i am sending email to a user on the 07exch server.

I have attached some pictures as i know you all love pics. And will make my explaination a log clearer.

How do I cancel POP forwarding from BT Yahoo to Outlook express ?
I recently changed to broadband and created a sub account for my daughter
and another one for myself. Outlook express asked if I wanted emails to
these email addresses forwarding to my primary email address. I thought it
would only forward my mail but it is forwarding my daughters too, how do I
stop this ? ?

I have a customer who accidentally deleted all the email in one of his
PST files. I have successfully recovered the email by corrupting the
PST file with a Hex Editor than checking it with the scanpst tool. Now
the challenge is the Deleted Items folder has over 30,000 emails. What
would be the easiest way to move all email from "John Doe" to a folder
named "John Doe" (which may or may not exist)??? Any help is
appreciated.

How can I automatically transfer emails from In Box to another folder on the
same computer.

Is there a way of grouping mail automatically, so that when mail arrives from e.g. the "Real Estate Investment Group", the original would remain in the inbox, but a copy of any mail received would automatically go to a folder of choice, and any mail sent to the “Real Estate Investment Group” would be copied to the same folder?

Ideally, a sign would appear on the original mail that it had been copied, so that I would know not to set up the same rule again.

How to achieve this effect?

The rules seem to assume that one wants to move mail, not copy it. How to achieve “copy all mails to and from person X to [select folder]” in not more than two or three clicks?

This is a simple question, I hope someone has a simple answer.
 
I need to download emails from a pop3 mailbox at a hosting server directly to a public folder on my exchange. Say the mailbox address at the hosting server is mailbox@domain.co.uk. The public folder is also mail enabled and its email address is mailbox@domain.co.uk.
 
The exchange pop3 connector only gives me the option to download mail from the pop3 mailbox to a user mailbox and NOT a public folder. I wonder if anyone could suggest something.
 
I've thought of a school-boy's way and I'm sure it'll work but that's not the way I wanna go. The idea is to create a dummy user on the exchange system with a regular user mailbox and set it up to forward all incoming email to the public folder's address. I could hide this user from the address list so people don't get confused. This way everything will be downloaded from pop3 and thrown into the public folder.
 
Tell me what you think of this and if you have a better idea, please do reply.

hi, i have win 2003 active directory domain with exchange 2007.
I have this user named joeblogg with email address joeblogg@mycompany.com. Joe got married and has new surname as joedoe. Rather than renaming i created a new usr name joedoe with username joedoe@mycompany.com.

In exchange server i have setup a forwarding address of joedoe@mycompany.com in joeblogg@mycompany.com.

Now when joedoe logon to domain, she can get her emails in outlook 2007, no problem on receiving/sending. But what do i need to do so that she can get all her folders from previous mailbox to this new one. She used to have several folders outlook 2007.

Outlook, we're having a hard time explaining to our users -- and
ourselves -- the differences between sharing mailboxes using Delegates
Access, and sharing mailboxes by setting individual permissions on
each folder. Can anyone explain exactly when you should use either for
a shared mailbox please?

Ideally, we'd like users to use the Tools - Options - Delegates tab
only because it's easy to use. However, we'd also like the shared
mailboxes to permanently appear in the folder list. Doing File - Open
a hundred times a day is no good.

Would it be a good idea to check the "folder visible" option for the
"default" user at mailbox level for all mailboxes?

For Office 2007 there was Article ID: 972148 available to fix the issue, but this doesn't seem to work for Office 2010. For us it's important to send messages "on behalf of" and not "sent as", so using the "Add Account" function in Office 2010 doesn't seem to be the solution for us. Manually moving from personal Sent Items folder to shared Mailbox' Sent Items folder is also not really feasible.

Is there any solution available in Office 2010 which we didn't find yet?

I need to write a utility that allows me to copy all messages from a users mailbox folders into a public folder. I am trying to use web dav however, I keep getting a 401 when trying to connect to exchangeusername

Hi all, this is my first post here so I hope I’m adding this in the right forum. Sorry if not.

I’ve got a little issue and a couple of questions so to (try to) be accurate, I will first explain a bit the environment and the steps taken so far … 

We run a single Exchange 2007 (no SP) in a single domain environment. Currently all users have their personal addresses and we also use Distribution groups for a few departments. Up until now, this was sufficient. 

However, recently, I started receiving requests for “shared” departmental mailboxes. So I created those through the Shell using command:

New-Mailbox -Name "HR" -Database "First Storage GroupMailbox Database" -OrganizationalUnit "company.local/OU/OUxxx/OUxxx" -Shared -UserPrincipalName "HR@company.local" -Alias "hr" -DisplayName "HR" -FirstName "HR" -LastName "HR"

I also created a security group in AD for the sole purpose of managing permissions on shared mailboxes (so that I could do it directly from Outlook if I’m part of that group).

Then I granted full permission on that Shared Mailbox for that group:

get-mailbox -identity "HR" | add-mailboxpermission -user "LGrp-SharedMailboxes" -accessrights 'FullAccess'

and granted Modify access to the Mailbox’s personal Information attributes:

get-mailbox -identity "HR" | add-adpermission -user "LGrp-SharedMailboxes" -accessrights:ReadProperty, WriteProperty -properties 'Personal Information' -extendedrights 'Send-As'

This is what I have done so far and it seem to work almost as expected where I could then open the shared mailbox from my Outlook and add permissions to other users directly to it.

My concern is that when sending emails using this mailbox name in the From field it always goes out with the sender’s name and “sent on behalf of”. Where I really would want to “hide” the individual’s name and display only the “shared” name. 

So I’m a bit stuck now and really could use a little help. Have I forgotten something or I’m I simply addressing this the wrong way? Should I use public folders instead?

Finally, if the steps taken to manage permissions on shared-mailboxes could be done better or are not “the way it’s supposed to be done” (against best practices), your expertise is more than welcome (along with example scripts ;) , always useful).

We have a user who created a shared calendar in his mailbox. However,
he wants to move it to public folders. It says he doesn't have access.
I assume an administrator can do this or are there issues? I'm also
assuming it's just a drag and drop operation.
Any insight would be greatly appreciated.
